The settings of the company are the first data to be filled in when creating a new one.
Indicate the name of the company. (It is not necessarily a good idea to put it all in capital letters because they take up more space and the signature block of the salary certificate is restricted)
Indicate the address.
It is no longer necessary to enter the trade register number, but it is absolutely necessary to enter the IDE number (unless it does not exist: private employer, etc...)
If the company is concerned by the FSO survey every two years, you must enter the REE number.
Indicate the company's telephone number (mandatory for the salary certificate). The other fields are optional (but the more you fill in, the more you can get out in the formats).
Click on the multi-canton button to indicate the DPI information:
Indicate the cantons, the types of taxpayers, the order numbers and the commission rates. Be careful to create several lines for the same canton if you have different types of taxpayers, even if the order number is the same.
The name of the person in the signature block of the salary certificate is mandatory. If the sentence concerning the payment of expenses must appear on all the certificates, enter the information (otherwise put it on the level of the people concerned only).
Ages: triggering pension contributions for employees. The OASI should never be unchecked at the employee level for age reasons. The program automatically activates it on January 1 of the year of the 18th birthday and the month after retirement, it lowers the deductibles by 1'400.--. The same applies to unemployment and BVG (start/end).
Working hours: Normal weekly hours of a full time employee in the company (information recovered for the SFO). If it is a school, indicate the average number of lessons per week for a full-time teacher.
The average hours and days per month of a full-time person. These figures will allow you to find hourly or daily rates for people working full time with monthly salaries.
The company's vacation policy should be indicated. (here 4 weeks +1 from 50 years old, and the legal minimum of 5 weeks for young people up to 20 years old). It is clear that something else can be indicated in the management of the employees. If you don't want to manage the employees' vacations, you can put 0 in the rights so that they don't accumulate days.
If you manage vacations stored as a percentage of salaries (not paid as you go along), you can tick boxes so that the program pays what has not yet been paid on a specific date.
Check the month(s) in which the 13th salary is to be paid to those entitled to it. It is possible to pay the 13th separately (before or after December. Except if there are people paid by the hour where December must be done before). If you choose November and there are only people paid by the month, you can check "Complete the 13th paid in November".)
Annual tax rate: for the cantons where salaries are annualized (GE VD VS FR and TI), the program will take into account a possible 13th from the start so that all the tax catch-up is not done on the 13th. The rate will therefore be identical throughout the year (except for other elements).
Inflating the daily and hourly rates of the 13th share: to be avoided because today it is better to make two lines to explain what is paid. (field maintained for the old exercises).
If the concept of analytical accounting is used in the salaries, when the voucher is defined, all the elements of the employee will be broken down according to the distribution indicated in the management of the employees.
As standard, 10 accounts can be indicated for a single month. If more are required, check "Unlimited entry".
If a salary item has to be broken down into an account other than the employee's account(s), activate the "Itemized split " option to assign an analytical account to the items. (Only activate this option if necessary as it makes the entry screen more cumbersome).
Check ISO20022 payment to generate payment files.
The checkbox "With reason for payment" allows you to send information to the recipient (e.g.: pursuit number if you pay directly to the office).
The second box is for any specific instructions to the bank.
Manage salary advances: if you activate it and activate the "Salaries already paid" section, you can generate several payment files per month and switch them to salary advances.
Generate payment files for months already closed: you have to be ADMIN to be able to activate this for security reasons (and avoid paying salaries twice).
Filter employees by payment bank: by choosing the bank through which each employee will be paid (indicated in the employee management), when making payments, by choosing an employer's bank, the program will only display the employees concerned.
European date format: if it is not ticked, it will be inverted to English mm/dd.
Employee photo entry: if the box is checked, a photo can be imported into the employee's file.
Company not subject to Swiss law: if you only manage salaries that are not subject to federal insurances.
Repeat amounts from the previous month: avoid checking this box as much as possible. Swissdec and the social insurances want the salaries to be calculated correctly each month taking into account the accumulations. As the centimes of the salaries cannot be other than 0 or 5, the program must round up. If the OASI in January is xx.32, the amount deducted will be xx.30. Since the cumulative total at the end of February will be yy.64, the program will deduct xx.35. If it is absolutely necessary to keep the salaries the same because of a standing order (an increasingly rare case), you can check this and indicate, for example, 2.00 in the difference. In any case, in case of a final settlement (departure) or in December, the program will make up the difference.
Protect the pdf's with a password: if the pay slips are sent by e-mail, the person who receives the e-mail must enter a password to open the attachment. A password per person must then be defined in the employee management.
Signature of the pdf = electronic signature
